This Privacy Policy explains how W1TCH uses and protects data collected through w1tch.net, Witch Bot, Witch Link, Witch Report, and related W1TCH services.
What data we collect
Website account data:
We may store account information required for the website to function, such as account ID, display name, email address, registration date, account groups, purchases, license keys, and account activity metadata.
Discord account linking data:
When you link your Discord account to your W1TCH website account, we store your Discord user ID, Discord username/display name when available, linked website account ID, and the time the link was created. Temporary linking codes are generated on the website, expire after a short time, and are removed after they are no longer needed.
Discord bot data:
Witch Bot may process Discord messages when they are commands, direct messages to the bot, or messages required for configured bot responses. The bot uses this data to process commands such as account linking, moderation, role synchronization, nickname synchronization, user lookup, and staff audit tools.
Command and moderation logs:
For security, moderation, and abuse prevention, we may store audit records for bot commands. These records may include Discord user IDs, usernames/display names, server and channel identifiers, command names, command arguments, command status, moderation reasons, targets, timestamps, and related technical details.
Reports:
Witch Report may receive structured reports from W1TCH software or services, such as the launcher, mod, driver, or bot. Reports may include source name, source version, reporter key, linked website member ID if available, report type, reason, details, technical payload, and timestamp. Reports are retained according to the configured retention period, currently 90 days by default.
Server and security logs:
Our servers may automatically record technical information such as IP address, user agent, request URL, timestamps, and error logs. This is used for security, debugging, abuse prevention, and service reliability.
How we use data
We use collected data to:
- operate the website and user accounts
- link Discord accounts to website accounts
- verify account ownership
- synchronize Discord roles and nicknames from website account groups
- provide moderation and community safety tools
- investigate abuse, compromised accounts, spam, fraud, or technical issues
- maintain logs needed for security and operational reliability
- export technical reports where configured for internal diagnostics
Message content
Witch Bot uses the Discord Message Content Intent only where needed to process prefix commands, direct-message linking commands, and configured bot responses. The bot does not archive normal Discord chat messages as a general logging system. Command text and moderation-related details may be stored in command audit logs.
Server members
Witch Bot uses the Discord Server Members Intent to resolve members, read roles for permission and hierarchy checks, apply moderation actions, synchronize roles and nicknames, and process member join events for pending account synchronization.
Presence data
Witch Bot does not use Discord Presence data and does not store user online status, activity, or presence updates.
Data sharing
We do not sell personal data. Data may be accessible to authorized W1TCH staff when needed for administration, moderation, support, security, or technical maintenance. Data may also be processed by service providers that host or operate our website, Discord bot, databases, backups, or related infrastructure.
Data retention
Account linking records are kept while the link is active or while needed for security and support. Temporary linking codes expire quickly and are removed after they are no longer needed. Moderation logs, command audit logs, and security logs are kept as long as reasonably needed for moderation, abuse prevention, security, debugging, and operational purposes. Witch Report records are retained according to the configured retention period, currently 90 days by default, unless a different period is configured.
Your choices and rights
You may unlink your Discord account from your website account through the Witch Link account settings page where available. You may contact W1TCH staff or use the website support/contact options to request access, correction, or deletion of your personal data. Some data may need to be retained where required for security, moderation, fraud prevention, dispute handling, backups, or legal compliance.
Security
We use reasonable technical and organizational measures to protect data from unauthorized access, misuse, loss, or disclosure. No online service can guarantee absolute security.
Changes
We may update this Privacy Policy from time to time. The latest version will be posted on this page with the updated date.
